We are looking for someone who has: a high level of personal impact, significant line management experience (ideally in a matrix management environment), contractor recruitment experience and is used to managing multiple tasks and personalities. 

 

THE ROLE

On a day to day basis the Assistant Project Support Manager will be responsible for the line management of up to 8 direct reports, engagement with Project and Programme Managers, resource planning including organising, allocating and supervising the work of the Project Support Officers and inputting into the continuous service improvement of the team.

 

KEY TASKS

Line Management of Project Support Officers, Project Support Assistants and Project Administrators

  • Set objectives and undertake appraisals
  • Identify and approve training needs
  • Provide mentoring and training, Monitoring quality of work and providing feedback
  • Brief Project team on the project they have been assigned to
  • Act as an escalation point for the to ensure requirements are met and delivered on time, within cost and to quality
  • Staff induction
  • Input to any change management initiatives within the Project Support Team

 

Resource planning

  • Assign Project team to projects
  • Escalate issues Review staff levels
  • Carry out recruitment
  • Manage day-to-day relationships

 

Stakeholder engagement, networking and communications

  • Promote the services of the Project Support Tea
  • Initiate workshops or discussions
  • Proactively identify opportunities for Project Support services
  • Manage risks or issues arising
  • Maintain dialogue throughout the project

 

Effective Financial Management

  • Input to the management of the Project Support Team resource and finance pool agreeing priorities

 

Providing advisory support to other members of the team

  • Provide domain related and/or role related expert advice, guidance and support
  • Contribute to peer group reviews
  • Contribute to project management
  • Assist in supporting the continuous improvement of project management processes
  • Assist in project related crisis management

 

Project Communications

  •  Communicate project progress to stakeholders – Answer queries and provide information
  • Brief the project team on the project schedule and objectives
  • Event scheduling and management
  • Create project web site pages in conjunction with the communications function
  • Writing and/or uploading agreed content to web pages
  • Pro-actively maintaining content in response to project developments
  • Planning and coordinating project communication activity, including creating and maintaining project mailing lists, drafting and circulating project communications, and dealing with responses, analysing and presenting results
  • Creating and maintaining project data repositories
  • Designing and creating SharePoint Team sites for projects and establishing and maintaining an appropriate SharePoint security model

 

Project and/or stage planning

  • Agree a plan with appropriate level of detail
  • Prepare product breakdown structure
  • Determine resources
  • Develop implementation plans
  • Ensure project compliance Service Project and Programme Meetings
  • Service Project and Programme Board Meetings
  • Plan an advance schedule of board or related meetings
  • Support the chair and board members
  • Advising on agenda items, production and circulation of action plans and drafting of meeting minutes
  • Service other project meetings and events
  • Meeting scheduling and support for meetings, workshops etc

 

Support Project Lifecycle

  • Project start up and planning support
  • Project Manager induction
  • Assist with making project governance arrangements
  • Support for project monitoring and Monthly Project Progress Reports
  • Risk and Issue log management
  • Assistance with business analysis
  • Support of business change activities
  • Data management and maintenance
  • Project Testing activities: scheduling, testing and assisting with UAT Maintain project document library
  • Work flexibly on multiple projects across the Portfolio

  • An understanding of IT project planning including; knowledge of the full project lifecycle, estimating effort, scheduling resources and identifying dependencies
  • An understanding of the general principles of information technology such as its role in decision support, methods of data capture, storage and retrieval, development tools, operating systems, networks and security and the latest developments in these areas
  • Awareness of the objectives and functions of the Higher Education sector including governance and funding issues
