We are recruiting for an experienced Departmental Administrator to join one of London’s leading Universities. We are looking for someone who is a self-starter, who is happy to get stuck in with any task at hand and highly organised.



  • Manage the departmental email inbox, which at times can be very busy
  • Acknowledge receipt of applications
  • Filing queries and applications/requests into the appropriate review folders
  • Responding to queries
  • Raising urgent items with the relevant members of staff
  • Process all new applications and amendments/extension requests
  • Undertaking an initial pre-screen assessment and returning incomplete applications where appropriate for revision and re-submission
  • Creating application folders and filing applications and correspondence
  • Organising applications/requests into the appropriate review order and type, and assigning applications for review
  • Review applications for Chair’s Review and amendments and create initial comments on the applications, including potential issues, for sending to the reviewers.
  • Manage the database, ensuring all review decisions are accurately recorded and communications filed for record
  • Prepare and distribute correspondence on behalf of colleagues in the department



  • Ability to answer telephone enquiries and draft correspondence, minutes and summaries in a clear, concise and logical format, whilst maintaining a high level of accuracy and attention to detail
  • Proven consistent ability to meet tight individual and group deadlines and to manage one’s own workload through effective prioritising, time management and organisational skills
  • Commitment to customer focus and the need to provide an efficient, professional and effective service to the many users and contacts both internally at all levels of the organisation and externally
  • Ability to be discreet and maintain confidentiality when dealing with a variety of student and staff data
  • Ability to deal with sensitive information in a professional manner
  • Ability to proof-read correspondence on behalf of others, ensuring accuracy and a close attention to detail
  • Experience of working within a HE or research environment
  • Experience of managing a busy inbox
  • A self-starter, who uses initiative
  • Experience of working with databases
