DUTIES AND RESPONSIBILITIES

Relationship management

  • To support the management of the department’s external relationships. Managing a variety of relationships; building on current relations and forging new links.
  • To undertake a needs analysis approach to all direct enquiries to the department.
  • To set up and operate an effective Customer Relationship Management (CRM) system.
  • To promote and encourage industry-related activities and help to ensure the smooth running of these partnerships.
  • To develop and support initiatives seeking to encourage academic participation in industry partnerships.
  • To gain and develop a comprehensive understanding of the priorities and working practices of commercial and industrial partners.
  • To work with a range of stakeholders, to identify and document the outcomes and impact of research activities.
  • To streamline the local process for securing industrial funding (studentships, prizes, internships, staff secondments).
  • To identify and enable opportunities for industrial engagement. Setting up, drafting the terms of reference for and then servicing the department’s Industrial Liaison Board.
  • To instigate and progress contract and commercial negotiations.
  • To undertake targeted research to identify external opportunities.
  • To assist with the development of business cases for new external opportunities.
  • To liaise, as necessary, with other universities and with other research organisations on issues affecting the strategic development of industrial relationships.

 

Internship administration

  • First point of contact for those seeking information about internship opportunities; providing detailed advice and guidance, identifying issues and providing effective solutions in a timely manner.
  • To liaise with industrial contacts to identify and secure student internship opportunities.
  • To liaise with academic supervisors to match potential placements to students.
  • To develop, implement and update policies, procedures, records and other materials relating to the department’s industry projects and placement activities.
  • To ensure appropriate agreements with industry are in place at the correct time and adhered to during projects and placements, with particular emphasis on ensuring that the student experience remains as agreed.
  • To work closely with those supervising the academic outcomes of internships to ensure that internship arrangements are adequate and that all key stakeholders remain satisfied.

 

Communications

  • To liaise and build up effective relationships with academics and researchers so that opportunities to connect them with industry can be identified and the impact of their research maximised.
  • To develop and maintain the department’s webpages, ensuring current news and press releases are updated on a regular basis.
  • To utilise tools such as Google Analytics and search engine optimisation technology to raise the visibility of the department’s website.
  • To develop and draft relevant newsletters, updating them on the department’s industrial engagement activity.
  • To lead in the production of new and engaging content relevant to industry. Researching, interviewing, writing, editing, subediting and proofing material in print and digital format.
  • To prepare and give presentations to promote the department’s areas of expertise.
  • To liaise with the media, press and other external parties to promote the department’s relationships with industry and to publicise relevant publications, projects, relationships etc.
  • To act as a point of contact for the media relations and communications teams.
  • To organise events and workshops for stakeholders including academics, students and industrial contacts.
  • To measure and evaluate the impact of events among key audiences through analytical and qualitative methods.

 

Customer service and reporting

  • To act as the first point of contact; This includes day-to-day management of the Team inbox.
  • To capture, record and analyse relevant data to monitor the team’s impact on industrial engagement.
  • To provide written and verbal reports (including statistical data) on the department’s industrial engagement activity.
  • To take on administrative support roles such as minute taking for relevant committees and/or steering groups.
  • To develop and maintain relevant management information systems, ensuring records are maintained accurately.

 

PERSON SPECIFICATION

Skills and/or Abilities

  • Computer literacy, including Microsoft Word, Excel, PowerPoint and Outlook as well as the Internet
  • Excellent organisational skills, time management and project management skills, including the ability to work effectively on numerous projects simultaneously
  • Excellent interpersonal skills and the ability to develop effective relationships with internal and external staff at all levels
  • Excellent numeracy skills with the ability to present and interpret figures and statistics
  • Ability to collate and present management level information and to draft correspondence and reports
  • Ability to be discrete and maintain confidentiality
  • Experience of writing, editing and sub-editing, including the expression of complex or technical material in lay terminology
  • Knowledge and understanding of university knowledge exchange and enterprise

Experience

  • Experience of working in a higher education environment
  • Experience of developing and maintaining excellent customer relations, including managing stakeholder expectations
  • Experience of producing effective print and online communications e.g. press releases, reports, brochures and proposals
  • Experience of developing and implementing administrative systems and procedures
  • Experience of using customer relationship management processes and systems
  • Experience of using a Content Management System
  • Knowledge and experience of using search engine optimisation technology, including Google Analytics
