The main function of the post will be to assist in the detailed financial activities of the Department and to aid the Departmental Manager in monitoring departmental expenditure and transactions.

This is combined with general departmental administration including assisting with conferences, short courses and other departmental events, and assisting in dealing with Human Resources procedures and research grants administration.



Financial duties

  • Acting as the first point of contact for Departmental staff and students regarding financial matters;
  • Dealing with all enquiries relating to departmental finances;
  • Ensuring invoices are correctly authorized and payments are made on time;
  • Placing purchase orders for goods and services as required; monitor that goods and services have been received and receipted;
  • Checking invoices against purchase orders, coding and batching invoices, processing expenses payments, bank transfers;
  • Ensuring that all monies due to the department are collected in a timely manner; raising invoices and inter-departmental transfers as required;
  • Receiving, coding and banking cash and cheque income, and processing credit card transaction income;
  • Maintaining paper and electronic filing systems;
  • Checking monthly financial reports received from Finance Division and Research administration;
  • Dispatching monthly reports to grant holders and dealing with queries from Principal investigators;
  • Providing assistance in the monitoring of all project accounts;
  • Resolving questions and problems on all payments;
  • Providing regular financial reports to DM and Head of Department;
  • Updating and maintaining financial spreadsheets and databases including monthly budget monitoring spreadsheets and salary monitoring;
  • Maintaining financial records for internal and external audit;

General administration

  •  Supporting and assisting the DM in processing payment requests;
  • Ordering all stationery for the Department;
  • Monitor stocks and reorder as required and if needed;
  • Supporting and assisting the DM with Research Grants Administration, pre and post-award.



  •  It is important that the applicant has a relevant financial qualification or significant experience obtained in Higher Education.
  • Experience of financial administration and knowledge of accounting and financial procedures (including the preparation and monitoring of budgets) is essential, as well as the knowledge of Financial Systems.
  • We need someone with excellent organisational and time-management skills, an understanding of financial policies and guidelines, particularly in the higher education sector and preferably experience of research grants administration.
