PA – £14.72ph plus holiday pay – Central London

Start ASAP for one month initially, extension possible

PART TIME – 18.25 hours per week



  • Provide secretarial support to the Director.
  • Deal with all correspondence by post, e-mail and telephone; prepare and type correspondence, reports, screening phone calls, enquiries and requests, and handling them when appropriate.
  • File correspondence accordingly both in paper form and electronically.
  • Maintain diary of the Director.
  • Organise in-house, local, national and international meetings; itineraries and travel arrangements to UK and overseas conferences and meetings.
  • Arrange travel, visas and accommodation.
  • Meeting and greeting visitors at all levels of seniority.
  • Arrange Catering (teas, coffees and lunches) as requested.
  • Arrange Agendas, take dictation and minutes or equivalent as requested.
  • Producing documents, briefing papers, reports and presentations.
  • Ensure the Professor is well prepared for meetings by distributing paperwork and Agenda’s ahead of meeting day.
  • Responsibility for Finance with regard to ordering stationery and other sundries for the department.
  • Expense administration.
  • Maintain Outlook with contact details of key colleagues and professional contacts.
  • Access the Professors email and flag and action as appropriate.
  • Undertake responsibility for all issues regarding the building and maintenance for it.
  • Ensure that records and files are kept up to date.
  • Continue to refine administrative systems.


  • Intermediate/Advanced level of MS Office with fast and accurate keyboard skill
  • Strong secretarial and administrative skills including working at PA level
  • Excellent understanding of grammar and punctuation
  • Experience of handling international travel arrangements
  • Experience of working with and having a high regard for confidential information
  • Shorthand skills
  • Experience of web design and management
  • Good verbal and written communication skills
  • Numerate with good organisational skills
  • The ability to deal effectively and pleasantly with people at all levels and from different cultures by telephone, email and in person
  • Able to work with the minimum of supervision and to use initiative where required
  • Experience of working in the higher education sector and of working with students
  • Ability to handle a varied workload and to work under pressure with a good sense of humour, whilst maintaining attention to detail
  • A flexible approach to work
