Are you an experienced Research Officer looking for a new role? How would you like the opportunity to join one of London’s leading Universities as a temporary member of staff?

                                   

MAIN PURPOSE OF THE JOB

The Research Officer will provide project and administrative support for the Research Group(s) in the Department. The post holder will develop and implement strategies to enhance the research community and provide high-level administrative support for research staff.

 

KEY RESPONSIBILITIES AND OUTCOMES

Research Grant and Project Funding Administration

  • Co-ordinate bids to a variety of research funding schemes and projects plus responses to cross-disciplinary initiative
  • Manage and monitor expenditure against grant/project budgets and alert account holders of potential under- or over-spends
  • Liaise and network with grant funders and partner institutions to share information on funding procedures and regulations
  • Liaise with the Research Office
  • Manage expense claims for research group as requested
  • Oversee and process payments to casual staff and external contractors
  • Manage technical purchase orders and records of expenditure for research projects, liaising with academic staff and students
  • Play a proactive role in preparing and writing parts of the designated departments strategic document/submissions such as Research Excellence Framework (REF)
  • Research and report on financial data to inform costings for grant proposals, to run reports on different requirements
  • Oversee and manage data/information for reporting requirements of different funders
  • Oversee and maintain data files of research grants/projects including copies of initial proposals, awards, monthly reports, general correspondence and other relevant information
  • Oversee and maintain Departmental Research and Publications database

 

Publicity & Events

  • Work with the Communications Officer to update the research websites, including providing reports, announcements and event details. Regularly solicit and collect material to promote the work of the research group. Make active use of Social Media to broadcast research
  • Manage and initiate research meetings and events; make arrangements for meetings, workshops and events, involving partner departments and institutions connected with the designated group(s)’ research projects and other activities
  • Overall responsibility for the organisation of seminars and events, including sending out invitations, scheduling seminars, booking rooms and refreshments, updating the website and organising publicity

 

Advice, Guidance & Networking

  • Act as the departmental expert for Worktribe, assisting Principal Investigators and others with grant costings and financial report
  • Network and liaise with internal and external contacts in order to gain information on research funding opportunities relevant to areas of research relevant to the department
  • Network and develop links between external and internal sources for collaborative research
  • Maintain a database of relevant, main funding bodies, including regulations governing proposals and grants, in order to provide information quickly to the department
  • Assist in drafting business cases, newsletters, flyers and proof reading reports as and when requested
  • Oversee and manage data/information for reporting requirements of different funders

 

General Administration

  • First point of contact for research related enquiries, including contact from both external and internal associates
  • Deal with visitors to research groups; meeting and greeting, booking accommodation, arranging expenses et
  • Liaison with the relevant departmental leads and other departments, such as HR, Finance and Registry and Academic Services over matters concerning staff and students in the research group(s)
  • Attend and contribute to relevant committees/meetings as required, including the presentation of data/reports and influencing decision making
  • PA Support to designated group(s), as required:
  • Booking flights and travel arrangements
  • Processing expense claims
  • Dealing with requests for references
  • Drafting letters on behalf of others when required

 

PERSON SPECIFICATION

Knowledge

  • Knowledge of research funding processes and regulations within a HE/research environment

 

Skills and/or Abilities

  • Computer literacy and familiarity with the Microsoft suite of software to intermediate level in Word, Excel, Email, Outlook and the internet
  • Good oral and written communication skills which enable the post holder to liaise and interact with a variety of people at all levels of the university
  • Ability to confidently network with others, building and maintaining internal and external stakeholder relationships
  • A commitment to customer focus and the need to provide an efficient, professional and effective service to the many users and contacts both internally at all levels of the organisation and externally
  • Proven consistent ability to meet tight individual and group deadlines and to manage own workload through effective prioritising, time management and organisational skills
  • Ability to work under pressure whilst maintaining close attention to detail and accuracy
  • Willingness and ability to undertake training and adapt to new systems quickly
  • Excellent analytical skills including ability to research, analyse and interpret financial information
  • High level of numeracy, with the ability to understand and interpret a variety of figures and statistics, and deliver accurately against operational deadlines
  • Ability to prepare and co-ordinate accurate reports, budgets and recommendations for a variety of uses
  • Ability to create and update webpages
  • Demonstrable ability to develop, maintain and review administrative and funding systems
  • Ability to take initiative and contribute to decision making

 

Experience

  • Proven effective service in a customer service environment
  • Proven experience of working as a proactive member of a team
  • Experience of working within a HE or similar research environment
  • Experience of providing administrative assistance in the preparation of REF submissions, or similar
  • Experience of providing administrative assistance in the preparation of research funding applications
  • Experience of using online financial systems such as Worktribe
  • Experience of organising meetings/events to facilitate networking and knowledge sharing
