  • Working with the Teaching Administrators and academic tutors to provide an effective administrative support to the education function.
  • Provide extensive support to Teaching Administrators during Exams period.
  • Maintain, update and communicate various information in professional and courteous way via email, telephone, post, and face to face.
  • Good knowledge of using various administrative tools including Moodle and MS Office
  • Organise events and work with team members on joint events
  • Understand and follow academic regulations and advise students and staff accordingly.
  • Practice effective and collaborative ways to support various administrative activities:
  • Monitoring student engagement, coursework submissions & distributions, time- tabling and collating student load data, updating Moodle & handbooks,
  • Maintaining and archiving student records, organising student projects and payments,
  • Postgraduate Teaching Assistant (PGTA) administration.
  • MBBS degree administration, (MBBS is a primary medical qualification).
  • National Student Survey (NSS) -student feedback, admissions and outreach.
  • General office duties maintaining stationary and printers etc.
  • Improve and maintain teaching office service standards, take supervisory responsibility on teaching team projects in liaison with line/team manager. Also contribute to the projects of your colleagues.
  • Good knowledge of overall teaching office services e.g. undergraduate and post graduate programmes and modules, MBBS administration, PGTA administration, Admissions and outreach activities.
  • Demonstrate flexibility to quickly adapt to the changes as required to support the team and the Division.
  • Treat all student records with confidentiality and comply with data protection and freedom of information policies.
  • Provide statistical data reports as requested by the team manager to review workload and improve service standards.
  • Act as Secretary to relevant teaching committees and exam boards, providing agendas, taking minutes and following up actions as required.
  • Liaise with Admissions’ tutor to support with all aspects of the Marketing of undergraduate and postgraduate courses within the Division of Biosciences.
  • Deal with prospective/current student enquiries via telephone, email and in person.
  • Organise keep warm activities such as post offer UCAS and Postgraduate open days, maintain email and telephone communication with offer holders, maintain social media pages (e.g. Facebook).
  • Creation and distribution of advertising material both via email and print form.
  • Maintain prospective students and induction web pages.
  • Liaise with other departments such as UK Recruitment Office, International Office and Publishing and Marketing Services.
  • Support the Central Admissions Office with Undergraduate applications.
  • Provide support with PGTA recruitments on various modules, update the records throughout the year, constantly liaise with TAs /academics /staffing team as needed
  • Participate in the Teaching Office Reception rota.
  • Provide reciprocal cover for other Teaching Administrators
  • Provide support and advice to new members of the Teaching and Learning team.
  • Working as a collaborative member of the Teaching and Learning team and participating in team meetings.


  • Excellent IT skills with experience of MS Office (particularly Word and Excel) and the internet.
  • Excellent oral and written communication skills
  • Excellent attention to detail, high level of numeracy and accuracy and the ability to work accurately under pressure
  • Excellent interpersonal skills and experience of liaising with a wide variety of individuals and organisations
  • Excellent time management to ensure that orders and requisitions are completed in a timely fashion. Ability to prioritise effectively
  • Strong analytical and organisational skills with solution led approach
  • Significant experience of working within UK university administration with regard to teaching administration, Undergraduate and Postgraduate admissions, and student support
  • Significant experience of servicing committees and minute taking
  • Demonstrable experience of effectively analysing and presenting complex data
  • Experience of successfully planning a range of events
  • Demonstrable experience of managing a range of different deadlines and prioritising effectively
  • Evidence of working in a busy team environment with the ability to solve problems as part of a team
  • Flexibility to adapt to a changing environment
  • Sympathetic and approachable manner together with the ability to exercise sound guidance and exercise discretion in handling confidential matter
