The Trials Administrative Assistant is part of the administration team and supports the Trials Administrator and Trials Manager in the day to day running of the on-going trials. This is a busy role assisting with filing, dispatching and other duties as listed below.


  • To print and mail trial literature in required languages
  • To collate and dispatch country specific ethics and regulatory application packs
  • To collate and dispatch site specific ethics application packs
  • To prepare conference packs and teaching session packs for team members presenting the trials
  • Timely distribution of all of the above, keeping accurate and up to date records of dispatches
  • To prepare and mail mail-outs using MS Word mail-merges
  • To respond to expressions of interest from potential collaborators and request necessary documents
  • To communicate with potential collaborators about accessing online GCP training and progressing certificates
  • To log into database trial documents received from participating hospitals
  • To maintain contact details in the shared Skype account
  • To file trial documents including confidential patient data
  • To enter data forms into the trial database
  • To contribute to team meetings
  • To undertake any other task required by the trial managers or the project director, commensurate with the level of the role


  • Recent and relevant clerical experience
  • Good word processing skills, including proven proficiency in Word for Windows
  • Experience of using email and internet
  • Organised approach with the ability to prioritise work in order to meet deadlines
  • High degree of accuracy and the ability to pay close attention to detail and presentation
  • A flexible approach to work responsibilities
  • Good communication skills (both written and oral)
  • Ability to work as an effective member of the team
  • Experience in the use of other MS software packages, such as PowerPoint and Excel
